Koi Recruitment Privacy Notice
What employers see when you apply, how video is handled, and what happens after an application closes.
Last updated October 22, 2026
What employers see
Only the verified recruiters of the organization you apply to, and only what you send: your Koi headline, summary, skills, portfolio links, work history, your answers to their questions, and — if you tick the boxes — your résumé, introduction video, Unfiltered Résumé and email address. Your TPS posts, comments, connections and messages are never shared.
Video
Videos are stored privately. They are served only to you and to authorized recruiters through access checks on every request — there are no public links. Video is always optional: every question can be answered in writing, and Koi provides a written introduction field as a transcript alternative.
Discovery
Talent search is off by default. If you turn it on, verified recruiters can see your headline, skills, preferences and whether you have an introduction video, and invite you to apply. They can't see your email.
Statuses and automation
Your application moves to “Under review” automatically the first time someone at the company opens it. Every other stage change is made by a person and labelled “Employer update”. We don't use automated decision-making to reject candidates; ranking by skill match only orders what recruiters see.
Retention
Withdrawing removes the employer's access to your materials immediately. Closed and withdrawn applications, including answer videos, are deleted 12 months after their last update. Your candidate profile stays until you delete it.
Employers' own obligations
Employers who download or copy your information become responsible for it under their own privacy obligations. Contact tpssupport@forgearcadie.com if you have concerns about an employer.
